Evolution towards a modern work environment at Fluxys

Möbius supported Fluxys in transforming its headquarters to a modern work environment, implementing the New Ways of Working principles.

Fluxys manages an extensive network of infrastructure, including pipelines, storage facilities, and LNG terminals. This infrastructure plays a crucial role in ensuring energy supply in Belgium and the rest of Europe. As a leader in the energy transition, Fluxys is actively involved in transporting alternative molecules to facilitate the move towards a carbon-free society.

 

The need for renewal

To enhance employee connectivity and remain an attractive employer, Fluxys decided to renovate its headquarters to better meet modern work needs. The existing offices were in need of a refresh, and an analysis revealed that employees desired more meeting space and an environment that fosters collaboration.

With these insights and a commitment to sustainable renovation, Fluxys engaged architects and partners to plan a comprehensive renovation of its headquarters, based on the principles of the New Ways of Working (NWOW). For the guidance of this ambitious project, Fluxys relied on the expertise of Möbius.

Cooperation with Möbius is very smooth: as a true partner, they got to know our company and culture in no time. Moreover, they take the work off our hands. Being able to rely on the expertise of a team with different competences is a real added value. All the B's also come into play: ‘bricks’, ‘behaviours’ & ‘bytes’! What's more, we do not reinvent the wheel and rely on the knowledge and experience gained by other major players.

Approach: co-creative design process

The project began with an analysis of operational processes and employee needs. Using insights from this analysis and the latest trends, a vision and corresponding concept for the future work environment were developed.

Together with the architect, this concept was translated into plans for a revamped and modern headquarters. The Work@Fluxys principles were also established to promote collaboration, exchange, and well-being, with an emphasis on interaction, ergonomics, and environmental awareness. During the design phase, the project team regularly sought advice and insights from future users through a feedback group and internal communications to ensure employee involvement.

To minimise disruption during construction and maintain comfortable working conditions, all Fluxys teams relocated to a temporary work environment. This temporary location provided an opportunity to test new layouts and introduce new habits in preparation for the renewed activity-based setup of the headquarters. Despite some timing challenges, the teams from Fluxys and Möbius worked hard to ensure a smooth transition to the temporary offices.

 

Project and change management

With more than 1,100 people affected by the move and over 12,000 square metres of space to be renovated and furnished, effective project and change management is crucial.

The project team leads an extensive change and communication programme to encourage new habits. This includes implementing pilot experiments and providing continuous support to employees during the move. This step-by-step approach, from research and design to implementation and adoption, has ensured that Fluxys' headquarters renovation project stays on track and that employees remain fully engaged in the process.

 

Results: Fluxys ready for the future

The result will be a pleasant and modern work environment at Fluxys, promoting collaboration and meeting without compromising efficiency. The new work environment, designed according to the Work@Fluxys principles, offers diverse workspaces that support all formal and informal work forms.

Fluxys will provide its employees with an inspiring and productive work environment that is ready for the future. Furthermore, we are already seeing that changes in the (temporary) workplace contribute to a positive collaborative culture within the organisation.
